Who we are

This privacy notice is issued by Soloarte Group Ltd, trading as DiagramX, a company registered in England and Wales under company number 07321426, with its registered office at 46 Nova Road, Croydon, CR0 2TL.

We are registered with the Information Commissioner's Office (ICO), registration number ZB901029. For any question about this notice or to exercise your rights, contact us at info@diagramx.uk.

What we collect

We collect only what we need to respond to enquiries and deliver projects.

  • Identity and contact data: name, email address, phone number, company name, given to us by email or phone, or through the contact page.
  • Project and enquiry data: the project brief, location, budget and any documents or images you send us.
  • Technical data: IP address, browser type and general location, collected automatically through analytics cookies if you accept them (see our Cookie Policy).

We do not collect special category data (such as health or financial data) through the website.

How and why we use it

Each use of your data has a specific lawful basis under UK GDPR.

  • Responding to your enquiry and preparing a quote — legitimate interests, since you have approached us expecting a reply.
  • Delivering an appointed project — performance of a contract with you.
  • Sending project-related communications and invoices — performance of a contract, or legal obligation for tax and accounting records.
  • Website analytics cookies — consent, given or withdrawn through the cookie banner.
  • Complying with regulatory, insurance or legal requests — legal obligation.

We never sell your personal data, and we do not use it for automated decision-making.

Who we share it with

We share personal data only with the service providers who help us run the business and deliver projects, under contracts that require them to protect your data:

  • Our website host and email provider
  • Google, for website analytics (Google Analytics), if you have accepted analytics cookies
  • Project consultants, contractors or local authorities, where necessary to deliver your project, and only with your knowledge
  • AI tool providers, where we use AI tools to help with modelling, visualisation and drafting. We choose settings that stop information being used to train AI models where that option is available, and we do not enter personal data unless it is needed for the work
  • Our accountants and insurers, where required

We do not sell or rent personal data to third parties.

International transfers

Our website and core records are hosted in the UK. Some service providers, such as Google and AI tool providers, may process data outside the UK, including in the United States.

Where this happens, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK-US Data Bridge, as applicable, to ensure your data receives an equivalent standard of protection.

How long we keep it

  • Enquiry data that doesn't lead to a project: up to 12 months, then deleted.
  • Client and project records: up to 12 years after project completion, to meet our obligations under the Limitation Act 1980 and our professional indemnity insurance requirements.
  • Accounting records: 6 years, as required by HMRC.
  • Job applications: up to 12 months, unless you ask us to keep your details on file for longer.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Ask us to delete your data, where applicable
  • Restrict or object to certain processing
  • Receive your data in a portable format
  • Withdraw consent at any time, where processing relies on consent

To exercise any of these rights, contact us at info@diagramx.uk. If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint. We would welcome the chance to resolve any concern directly first.

Cookies

Our website uses cookies for essential functions and, where you consent, analytics. For full details of the cookies we use and how to manage your preferences, see our Cookie Policy.

Children

Our services are directed at businesses and adults, not children. We do not knowingly collect personal data from anyone under 13, and we do not market our services to children.
